Migration is the single most stressful event in a clinic's operational lifecycle. In 2026, with stricter HIPAA data portability standards, the process has become safer—but not necessarily easier.

Step 01: The "Clean Export" Rule

Before you even select a new EHR, you must audit your current data. Most therapists make the mistake of trying to move "messy" data—incomplete client profiles, unallocated credits, and un-signed notes. This will inevitably lead to corruption in the new system.

In SimplePractice, the bulk export tool is your best friend. However, ensure you are exporting "Client Files" and "Progress Notes" separately. Many practitioners forget to download the "Administrative Documents" (like signed consent forms), which are often stored in a separate directory in the export ZIP.

The 48-Hour Blackout

Step 02: HIPAA-Compliant Data Scrubbing

Once you have your export, you must "scrub" the CSV files to match the header requirements of your new EHR. This is where most therapists give up. Tools like 'EHR-Clean' (a popular 2026 data utility) can automate this, but for most solo practitioners, doing it manually in Excel is safer for data privacy.

Remember: During this scrubbing phase, the data is technically "unprotected" on your local drive unless you are using an encrypted volume. Never leave exported clinical data in your 'Downloads' folder.

Expert migration involves a "Parallel Run." For one week, you maintain both systems. You use the new system for active charting but keep the old system open for reference. This prevents the "Where did that note go?" panic during a live session.
